Payment Reminder Messages: 20 Polite Templates for Udhaar (WhatsApp & SMS)

Asking a regular customer for money is the hardest part of running a khata. These ready-to-send messages keep the request polite, clear and easy to act on.

Quick answer

A good payment reminder is polite, specific and easy to act on: greet the customer, state the exact amount and the date it was due, attach a statement, and end with thanks. Send the first reminder on the due date, a gentle follow-up 3 to 7 days later, and a firm one only after 30 days. Below are 20 copy-ready templates in English, Roman Urdu, Urdu, Pashto and Dari.

Key takeaways

  • Always include the exact amount and the due date. Vague requests are easy to ignore.
  • Attach a dated statement so the customer can check every entry themselves.
  • Message customers privately, never in a group, and never use threats.
  • MobiKhata lets you share a PDF statement on WhatsApp or SMS in a few taps, and on Android it can remind you when a balance is due.

The five rules of a polite payment reminder

  1. Start with a greeting. “Assalam o Alaikum” or “Hello” and the customer’s name. It reminds both of you that this is a relationship, not a dispute.
  2. Be specific. Give the exact amount and the date it was due. “Please pay your udhaar” invites the question “how much?”; “Your balance is Rs. 4,350, due on 15 October” does not.
  3. Show the proof. Attach a statement listing each entry with its date. Most disputes disappear when the customer can see their own purchases.
  4. Make it easy. Offer a way to pay in parts if the amount is large. A customer who can pay half today is better than one who avoids your shop.
  5. Thank them. End every message with thanks, and send a short thank-you when they pay.

Reminders work best when the date was agreed at the time of the sale. A note on the entry such as “to pay on salary day” makes the first reminder feel expected rather than sudden. Our article on common mistakes with informal credit covers how to set those terms.

What not to write

  • No threats or insults. They damage your reputation and can turn a slow payer into a lost customer.
  • No group messages. Never post a customer’s debt in a family, mosque or neighbourhood group. Keep it private.
  • No surprises. Do not add charges that were never agreed. If you have new terms, state them clearly and give a new date.
  • No reminders late at night. Send them during shop hours, when a reply feels natural.
  • Not too often. One message on the due date and one a week later is enough for most customers.
